What kind of images do you accept?
Please provide us with 300 dpi JPEGs, TIFFs or EPS files. Professionally taken photographs, not snapshots, are encouraged.
Will you print my job digitally or conventionally (offset)?
That will depend on a few factors, including:
- Quantity. Offset printing has a front-end cost load, so short runs may have a high unit cost. But as quantities increase, the unit cost goes down with offset printing. Very short runs can be much more cost effective with digital printing; while larger quantities are likely to have a lower per-piece cost with offset printing.
- Color. Digital presses use four-color process printing. If you need only black ink or one or two ink colors, offset printing may offer a more cost-effective solution. If you need four-color printing, digital may offer advantages in lower up-front costs.
- Turnaround. If you need it fast, digital usually offers quicker delivery.
How are mailing lists handled?
Mailing lists may be obtained from a variety of sources depending on the list type:
Internal lists include students and their parents and families, alumni, donors, faculty, staff and administrators, trustees and regents.

Please note: The Mail Room will slot mail for undergraduate students residing on campus. They need 2,200 unlabeled pieces delivered 2-3 days prior to slotting. The mail boxes are located in the University Center.
Mailing lists comprised of external audiences can be purchased from a number of vendors. There are many, many types of lists available for purchase including: by zip code, by political party affiliation, subscribers to specific magazines, Catholic households, etc. Discuss with list vendor types of audiences you want to reach and they will research the available lists.
How do I decide how which method to use — first class, standard, etc. — to mail my publication?
The publications team will help you decide, but typical postal imprints include:
As of February 2007, all SHU permits are entitled to mail at nonprofit rates and are encouraged to do so. Mailing takes 5-7 days.
Used rarely, except when mailing matter pieces that are part of joint efforts between SHU and a commercial enterprise (or other unauthorized mailer) that is ineligible to mail nonprofit. Typically, ineligible cooperative mailings are arranged as follows:
- Both parties contribute something to the mailing such as a list of names and use of the Nonprofit authorization by SHU or payment of printing or mailing costs by the commercial enterprise.
- Both parties take something out of the mailing (proceeds or profits).
Full mailing rate charged
Takes 2-3 days to deliver.
Recommended when mailing is a RUSH job – otherwise, use nonprofit to save money.
For mailings of 500 or more pieces
- The work you have the mail-house do in terms of preparing and sorting your mail can lower your postage costs.
- Postage depends on the characteristics of your mail piece, and how varied your mailing list is.
- Annual fee of $150.

What forms do I need to fill out if I am taking photographs on campus?

What are the latest mailing requirements from the United States Postal Service?
The US Postal Service has announced new prices that will take effect January 27, 2013.
New prices are as follows:
- Letters (1oz) – 1 cent increase to 46 cents
- Letters additional ounces – unchanged at 20 cents
- Postcards – 1 cent increase to 33 cents
New Requirements for folded self mailers
The new rules for folded self mailers will take effect January 5, 2013. The new rules are designed to reduce damages and slow downs on postal equipment. Please note that a folded self-mailer is a non-bound printed piece. Any bound printed piece is classified as a booklet.
Here is a summary of the requirements for the basic bi-fold and trifold pieces:
- The maximum size of folded mailers will now be the same as booklets.
- January 5, 2013 maximum size – 6 x 10.5
- Current maximum size – 6.125 x 11.5
- Final folds on the top will no longer be allowed. The final fold must be on the bottom, parallel to the address. On oblong pieces, the final fold is on the lead edge, to the right of the address.
- Quarter-fold self-mailers will need to be at least 70# text weight.
- There will be maximum number of 12 panels for non-newsprint paper (a panel is defined as a single leaf).
Self mailers that now only need one tab on the top will need two tabs. Perforated tabs will not be allowed. No tabs will be allowed on the bottom. Pieces up to one ounce must be closed with two 1-inch tabs placed on top within 1 inch of lead/trail edge or on the lead/trail edge within 1 inch of the top edge. For pieces over 1 ounce, 1.5 inch tabs must be used.
